My Productivity System: Habits Coach App + Old School Journal

Focus isn’t about doing more. It’s about doing the right things — consistently.

That’s why my productivity system is built on two simple tools:

  • The Habits Coach app, where I run my AM/PM habit stacks.
  • A Moleskine journal, using the Bullet Journal method, where I capture priorities and reflections.

Together, they help me cut through drift, stay aligned, and actually move forward on what matters most.

Why Focus Matters

Focus = Intention × Attention × Non-Judgement.

When we lose focus, it’s almost never because we don’t have enough time. It’s because:

  • Our attention is scattered by distractions.
  • Our intention isn’t clear on what matters most.
  • Or we let judgement pull us into perfectionism, procrastination, or comparison.

That’s why two of the 15 Essential Habits of Everyday Heroes are dedicated to focus:

  • Weekly: Choose your Top 3 Priorities.
  • Daily: Choose your #1 Priority.

These two habits act like a compass, steering me back whenever drift takes over.

The AM/PM Habit Stacks (Digital)

My Habits Coach app is where I anchor the rhythm of my day.

AM Stack (built over years):

  • Sleep 8 hours
  • Morning meditation
  • Morning stretches
  • Workout (5x/week)
  • Grab a cup of Coffee
  • Reconnect with my purpose
  • Review my mission + goals
  • Review my weekly Top 3
  • Choose today’s #1
  • Deep work block

PM Stack:

  • Work shutdown (5 pm-ish)
  • Family time
  • Eating sunset (2 hours before bed)
  • Digital sunset (1 hour before bed)
  • Evening meditation
  • Reading before bed

Do I hit these perfectly every day? No. But even when life gets messy, I keep coming back to them.

The stacks free me from decision fatigue. Instead of asking, “what should I do next?” — the habits run by default.

The Bullet Journal (Analog)

Digital tracking keeps me accountable. But paper slows me down enough to think.

The Bullet Journal Method (or BuJo, created by Ryder Carroll) is a flexible system for capturing tasks, priorities, and reflections using just pen and paper.

It’s built on a few simple principles — rapid logging, migration, and collections — that can be adapted to any life.

Here’s how I use it inside my Moleskine journal:

  • Materials: A Moleskine journal and two fountain pens (black and purple ink).
  • Page Numbers + Index: Every page gets a number, and I keep a front index where I log where key topics or projects live.
  • Category Pages: As topics come up (work projects, personal goals, coaching ideas), I dedicate a page and mark it in the index.
  • Monthly Focus Pages: At the start of each month, I review what’s carried forward, what’s done, and what no longer matters.
  • Weekly Focus Pages: Where I identify my Top 3 priorities for the week.
  • Daily Logs: Quick bullets for tasks, notes, and reminders. This is also where I choose my #1 priority for the day. If something isn’t finished, I migrate it forward.
  • Reflection: At the end of the day, I jot one win and one learn.

This way, my journal isn’t just a messy to-do list — it’s a thinking tool. It helps me slow down, reflect, and connect the dots between my habits (tracked in the app) and the actions I’m taking in real life.

Why This Hybrid Works

  • Habits Coach App = Rhythm. My AM/PM stacks create energy and consistency.
  • Old School Journal = Direction. Weekly 3 and Daily 1 keep me aligned.
  • Together = Focus. I spend less time reacting, more time creating.

This system is simple. It’s not about chasing hacks — it’s about building habits and making space for priorities that actually matter.

How to Start (Beginner Version)

If this feels overwhelming, start small. Here’s a simple entry point:

  1. Eliminate one drift area this week. (Turn off notifications, delete one app, or set a digital sunset.)
  2. Choose your Top 3 for the week. Write them down somewhere visible.
  3. Each morning, pick your #1. Do it before checking email.

That’s it. One week, three steps. Small nudges compound.

Productivity isn’t about squeezing more into the day. It’s about living with intention, energy, and alignment.

For me, the combination of habit rhythm (digital) + priority clarity (journal) is enough to fight drift and move forward.
